Why I built ReferaCare

I spent 10 years in corporate IT as a project manager. My wife is a teacher. Together, we started Mazal Home Care in Dallas, Texas.

We grew quickly. Before long we were keeping track of hospitals, doctors, senior communities, every marketing visit and every referral, all in spreadsheets. It got unmanageable fast. It was hard to see who was actually sending us clients, or who we were supposed to follow up with.

So we tried the CRMs out there. None of them fit. They weren't made for home care, they cost too much, or they were packed with features we didn't need.

My wife had never used a CRM before, and she wasn't going to learn a complicated one. So she challenged me: build one that's actually easy to use. I took her up on it.

That became ReferaCare. We run our own agency on it, and now other agencies use it too.

What I believe

  1. 01

    Referrals are relationships, not leads.

A discharge planner doesn't send you a client because you're in a database. They send one because they know you, trust you, and remember you when a family needs help today.

So the job isn't to collect names. It's to keep showing up for the people who matter, and to remember what you talked about last time. That's what ReferaCare is built around.

  2. 02

If your team won't use it, it doesn't matter how powerful it is.

Big CRMs can do almost anything. They also take weeks to set up, and most agency teams quietly go back to the spreadsheet.

I would rather give you a few things that work every day than a hundred you never open. If a marketer can't log a visit from the parking lot in a minute, I haven't done my job.

  3. 03

Your marketing should pay for itself, and you should be able to see it.

Lunches, treats, gas, a liaison's salary. For most agencies, marketing is one of the biggest costs, and the hardest one to measure.

You deserve a straight answer to a simple question: what did we spend, and what came back? Not a guess. A number.

  4. 04

    Good marketers deserve credit.

The people out visiting hospitals and senior communities do some of the hardest work in an agency, and it's often invisible. Their week ends up being defended from memory.

When every visit is logged and every referral is tied back to who earned it, the work speaks for itself.

  5. 05

Work with what agencies already have.

You already have software for scheduling, caregivers and billing, and you shouldn't have to give it up. ReferaCare does one job next to it: growing the relationships that keep your calendar full.

I still run an agency, so I build ReferaCare the way I'd want it built for me. If you'd like to talk about referrals, marketing, or how your agency is growing, I'm happy to help, even if ReferaCare isn't the right fit.
